Documents Overview
The Document Manager is your department's single file library. Every file lives here once, and the rest of ResponderOne references it:
- Resources - Document items in your resource menu attach files from this library
- Dosage Calculator - Protocols attach reference documents from this library
Because everything points back to one file, updating a document here means every menu item and protocol that references it can pick up the new version — you maintain one copy instead of hunting down duplicates.
Opening the Document Manager requires the Manage Documents permission. Permanently deleting files or folders additionally requires Permanently Delete Documents. The built-in Admin role has both.
Opening the Document Manager
Navigate to Documents under the Entity Management section of the sidebar.
The Workspace
The Document Manager is a three-pane workspace:
- File tree (left) - Your folders and files, with search, upload, and organization tools
- Viewer (center) - A preview of the selected file; PDFs get a full reader
- Details (right) - The selected file's version history, metadata, and update tools
On smaller screens the file tree tucks away — tap the Files button to open it.
Supported Files
- File types: PDF, images, video, and audio
- Maximum size: 50MB per file
PDFs get the richest treatment — previewing, page ranges in resources, and the PDF tools. Other file types can be stored, organized, downloaded, and versioned, with a "Preview not available for this file type" notice in the viewer.
Deletion Protection
Because menus and protocols depend on these files, ResponderOne guards deletions: if a file is still referenced by live menu items or active protocols, the delete dialog tells you exactly what references it before you decide. You'll never silently break a published menu or a protocol by cleaning up files.
